Data & Backup Management▼ expand
💾 All data backup and restore tools in one place. The daily scheduled backup runs automatically at 2 AM UTC — tools below let you run backups on demand, download local snapshots, and restore from any point in time.
📋 Operations Manual
⬆ Sync to Cloud
Pushes locally cached catalog data (Rate Card, SOW bullets, Project Details, settings) to Supabase so all users see the latest version. Runs automatically when you navigate away from Admin — use this button to force a sync if you suspect changes may not have saved.
Local Backup
⬇ Export Backup
Downloads a complete JSON snapshot of all proposals, contacts, companies, users, settings, and catalog data to your computer. Use this to create a manual point-in-time backup or to migrate data to another environment.
↑ Restore from File
Restores data from a previously exported .json backup file stored on your computer. Proposals, contacts, and companies are merged (existing data is kept). Catalog and SOW tables are fully replaced. Always run a backup before restoring.
Cloud Backup (AWS S3) — auto-runs daily at 2 AM UTC
⏰ Run Full Backup Now already runs automatically every day at 2 AM UTC (~10:00 PM ET) — see the Automation card on the Home page. Use this button only if you need an immediate backup instead of waiting for the nightly job.
▶ Run Full Backup Now
Runs the same job as the daily 2 AM scheduled backup — exports all 10 database tables to a timestamped JSON file in S3, and backs up all archived Sent & Accepted proposal PDFs. A confirmation email is sent when complete.
📄 Export Data → S3
Exports a JSON snapshot of all proposals, contacts, catalog, and settings and uploads it directly to S3 — without PDFs. Useful for an immediate cloud data backup when you don't need to re-archive PDFs.
📑 Backup PDFs → S3
Backs up all archived Sent and Accepted proposal PDFs to S3, stored at proposals/{id}/sent.pdf and proposals/{id}/accepted.pdf. Proposals with no archived PDFs are skipped automatically.
☁ Restore from S3
Browse all cloud backups stored in S3, sorted newest first, and restore from any of them. The backup downloads directly from S3 so there's no file size limit. Use this to recover data when you don't have a local backup file on hand.
⚠️Rate Card changes saved locally but could not sync to cloud. Other users or devices may see outdated data. Click Sync to Cloud above to retry.

Subscription Update▼ expand
⏰ All three steps below already run automatically every Saturday night, in this order (Apply Tag Subscriptions → Push Subscriptions to Mailchimp → Push All Contacts to Innovate) — see the Automation card on the Home page. Use the buttons here only if you need to run one manually, e.g. to pick up a change immediately instead of waiting for the weekly sync.
Apply Tag Subscriptions to Contacts
For each company, reads its tags and the publications mapped to those tags (configured in Company Tags above). Adds the matching CVB / RB / HE subscriptions to every contact under that company. Only adds — never removes existing subscriptions.
Push Subscriptions to Mailchimp
Syncs contacts to each Mailchimp brand audience based on their CVB / RB / HE subscription flags. Subscribes with Daily News, Weekly News, Monthly News and Announcements tags. Sends all available contact fields. Never re-subscribes contacts who have previously unsubscribed.
Push All Contacts to Innovate Healthcare List
Syncs every contact (with an email) to the Innovate Marketing audience. Sets CVB_CAT / RB_CAT / HE_CAT merge fields to today's date based on each contact's subscription flags, and applies Sub: CVB / RB / HE tags accordingly. Also applies all newsletter tags. Never re-subscribes contacts who have previously unsubscribed.
Data Cleanup▼ expand
Company Duplicate Detector
Finds companies with similar names, matching websites, or matching phone numbers. Select which record to keep and merge the rest.
Proposal Total Integrity Check
Opening a proposal in Builder silently drops any selected service whose Rate Card item was since renamed/removed, or whose multi-instance setting was turned off — the saved total on the Proposals list and PDF isn't touched, but the Builder's live total drops the moment it's opened. This scans every proposal for that mismatch without saving anything.
Auto-classify Company Statuses
Sets company status from proposal history — Accepted → Active, Sent → Proposal. Only upgrades; never downgrades a status already set higher.
Fix Broken Parent Links
Clears any company that points to itself as its own parent, or whose parent company no longer exists. Run this after a merge goes wrong.
Scan for Ghost Proposal Items
Finds proposals with hidden service entries (orphaned multi-instance keys) that inflate the subtotal without appearing in the line items. Scan first, then fix.
Company Status Import
Paste a list of company names (one per line, or a CSV with a name column). Select the status to apply to all of them.
Company Parent Relationships
View all companies with their parent company. Assign a parent to any company that doesn't have one.
Find Missing Websites
Look up domain names for companies that don't have a website set. Review suggestions and save confirmed domains.
Link Contacts → Companies (set FK)
Finds contacts with a company name but no company_id FK and links them by matching name. Run once to clean up text-only links so all lookups use the proper database relationship.
Find Duplicate Contacts
Groups contacts by matching email or matching first + last name. Select which record to keep — the others are merged into it and deleted.
Find Duplicate Companies
Groups companies by matching name. Select which record to keep — the others are fully merged into it (contacts, proposals, invoices, tags) and deleted.
Enrich Companies via Apollo
Overwrites website, phone, address, city, state, zip, and industry for all companies using Apollo Organization Enrich. Uses domain if set, otherwise company name.
Enrich Contacts via Apollo
